Digital Tools

Start with the work. Then choose the tools.

Choose software around your collections, workflows, and staff capacity. These selected tools illustrate different needs; a public access platform, a collections database, and a preservation system serve different purposes.

Browse and filter the directory to compare tools by type, purpose, and features. Check each provider for current details.

Describe and manage collections

ArchivesSpace supports accessioning, archival description, and access to finding aids. The software is free and open source; membership, hosting, and support are separate considerations.

AtoM provides standards-based archival description and public access, including support for multiple repositories and languages. CatalogIt is another option for documenting and managing museum and other collections.

Preserve digital files

Preservica combines digital preservation, collection management, and access features. Archivematica is an open-source digital preservation system. Consider ongoing staffing, storage, technical support, and how files will move into and out of either system.

Share collections and exhibits

Omeka offers open-source platforms for publishing digital collections and online exhibits, with hosted options available. Plan description, rights information, accessibility, and preservation alongside the public website.

Clean up collection data

OpenRefine helps identify inconsistent values, transform data, and reconcile records with other sources. It can support metadata cleanup before migration or publication.

Capture websites

Browsertrix provides tools for capturing, reviewing, and sharing archived web content. Start by deciding what to capture, how often, and who will check the results.

Questions to ask before choosing a system

  • What work must the tool support, and who will use it?
  • Can you export your records, files, and metadata in usable formats?
  • What will hosting, storage, migration, training, and support require?
  • How will access permissions, rights, and preservation responsibilities be managed?

These examples are starting points for evaluation. Visit each provider for current features, pricing, and technical requirements.

Backlog can help define requirements, assess existing data, and plan implementation or migration.
